Recommendation to Cancel the March 19, 2025 Public Art Commission Meeting and Approve a New Meeting Date in April, 2025

EXECUTIVE SUMMARY

This report outlines the request to reschedule the March 19, 2025 Public Art Commission (PAC) meeting to April, 2025. This will allow staff time to review the 2025 Cultural Arts and Arts Programming grant applications, which are due March 20, 2025, and make recommendations to the PAC in April rather than waiting for the next regularly scheduled bi-monthly meeting on May 19, 2025.

BACKGROUND

The PAC regularly scheduled meetings are typically held on the third Monday of every other month. However, there have been some exceptions due to holidays or other scheduling conflicts. The next PAC meetings are scheduled for March 19, 2025, and May 19, 2025.

The 2025 Cultural Arts and Arts Programming grant applications are due March 20, 2025. Under the current schedule, the PAC cannot review the grant applications until May 19, 2025. This delay in review puts undue stress on the artist community who depend on applications to be reviewed and confirmed in a timely manner. Staff are suggesting rescheduling the March PAC meeting to April to allow applications to be reviewed sooner.

DISCUSSION

Staff are requesting the PAC reschedule the March meeting to one of the following April dates, which take into account holidays, schools' spring vacations, and other potential scheduling conflicts:
* Monday 4/14/2025
* Wednesday 4/16/2025
* Monday 4/21/2025
* Wednesday 4/23/2025
* Monday 4/28/2025
* Wednesday 4/30/2025

ALTERNATIVES

* Make no changes to the existing PAC meeting schedule. The 2025 Cultural Arts and Arts Programming Grant Applications will be reviewed May 19, 2025.

RECOMMENDATION

Recommendation to cancel the March Public Art Commission meeting and approve a new meeting date in April 2025.
