BACKGROUND

After an extensive Request for Proposals and selection process, on July 18, 2017, the City Council approved an agreement with Active Network, LLC for the Alameda Recreation and Parks Department (ARPD) to implement a new web-based registration system.

ARPD staff worked with Active Net staff to develop the system components that are specific to our programs and then implemented the system from September through December 2017 and publicly launched the system.

DISCUSSION

ARPD staff have been working with the Active Net system for four months now. Staff is to be commended for their dedication and time spent on learning a new system, figuring out ways to make it work for our specific programs and activities, and being flexible throughout the implementation. We utilized the new system for the uploading and registering the summer programs as well as continuing registration for spring activities. Active Net proved beneficial in transferring program activities to the Activity Guide designer, which will create significant staff efficiencies for this tri-annual guide.

Overall, residents have been positive in their comments to staff about the new system. They have applauded the ease of the registration and the mobile phone interface. Even less technologically-saavy folks such as some of the seniors at Mastick Senior Center have been complimentary on the system and are now using the mobile phone option to register at higher rates. Since Active Net has only been in use for four months and we have not even completed one full season of registration, we need to collect more data to compare the online registration usage to the previous system. Once we have one year of data, then we will have a stronger comparison for the two systems.
