Recommendation to Authorize the City Manager to Award a Third Amendment to Agreement, for a Total Five-Year Expenditure Not to Exceed $148,218, to Dream Ride Elevator for Full Service Elevator Maintenance and Repairs in City Buildings (Various Locations). (Public Works 706001)

To: Honorable Mayor and Members of the City Council

EXECUTIVE SUMMARY

Elevators located within City of Alameda (City) facilities have aged three years since the original agreement was entered into in 2017. During this time period, the State Regulations have also changed. To keep current with State standards and repairs, staff recommends awarding a Third Amendment to Agreement that increases the amount originally awarded by $13,500 per year for the three years remaining in this contract with Dream Ride Elevator for an amount not to exceed $148,218.

BACKGROUND

Within the 500,000 square feet of City buildings maintained by Public Works staff, seven elevators require routine, specialized maintenance, repair and testing to ensure safety and compliance with applicable laws. The elevators are at City Hall, City Hall West, the Police Department, the Civic Center Parking Garage, the new Emergency Operations Center, the Main Library, and the Veterans Building.

DISCUSSION

On September 5, 2017, the City Council awarded a Second Amendment to Agreement in an amount not to exceed a total five-year expenditure of $107,718.02 and to extend the contract for a total of five years to Dream Ride Elevator for full service elevator maintenance and repairs in City buildings. Staff is recommending that the City Council award a Third Amendment to Agreement increasing the contract amount by $40,500 over the next three fiscal years ($13,500 per year) to address new State standards and additional repair needs for the existing seven elevators operating in City facilities.
