EXECUTIVE SUMMARY

 

To continue to support the City of Alameda’s (City) data storage needs, staff is recommending a three year renewal of the support agreement with Sable Computer Inc. in the amount of $59,699.

BACKGROUND

 

The City replaced its Dell mid-range Compellent Disk Storage Server in 2018 because it reached its end of life expectancy and its limit for disk storage capacity.  Staff researched various solutions for a comprehensive storage platform to allow for future technology growth.  The City purchased and implemented Tegile’s comprehensive Storage Area Network (SAN). 

 

Tegile developed what the company calls IntelliFlash Metadata Acceleration, which is a way to store metadata on high speed solid state disks, apart from the underlying data.  As a result, Tegile was named Storage Company of the Year in 2015, making them a leader in the industry.  Sable Computer Inc. dba KIS Computer Company (KIS) is the company that the City used to purchase, install and provide support services for the  the IntelliFlash Storage Area Network .  Council approved the purchase of the hardware and accompanying maintenance and installation services in the amount of $300,227 at its July 10, 2018 meeting. 

 

Staff is requesting that the City Council to approve an additional three years of support services with KIS for the two Tegile IntelliFlash SANs.

 

DISCUSSION

 

In 2018, after researching various solutions for a comprehensive storage platform to allow for future technology growth, Staff recommended and the City Council approved the purchase and installation of Tegile’s comprehensive Storage Area Network (SAN)  The equipment was installed and supported by Sable Computer Inc. dba KIS Computer Company (KIS).  The support services agreement with KIS is set to expire at the end of July 2021.  Given its familiarity with the system, staff is recommending Staff recommends renewing the support services agreement with KIS for an additional three years in the amount of $59,699

 

About Tegile

 

Tegile uses newer solid-state drive technology that greatly improves speed performance, increases the amount of data storage space available and continues to reduce server replacement costs through virtualizing servers throughout the City. Virtualization moves many smaller physical servers into one larger server.

 

The Tegile SAN allows the City to continue to move forward with upcoming projects such as:

 

                     Completion of the Microsoft Exchange’s required upgrade;

 

                     Consolidate storage systems from three data centers down to two, which will reduce other associated operational costs;

 

                     Build additional virtual servers to accommodate other departments’ physical server limitations; and

 

                     Allow for future technology growth.

 

ALTERNATIVES

 

                     Authorize the City Manager to execute a three year support renewal with KIS for the City of Alameda’s two IntelliFlash Storage Area Networks (SAN)

                     Not purchase additional support which could cause the City’s data not to be accessible.

 

FINANCIAL IMPACT

 

The total cost of the three year support renewal is $59,699. The funds for this purchase are budgeted in the Information Technology Replacement Fund.

 

MUNICIPAL CODE/POLICY DOCUMENT CROSS REFERENCE

 

The purchase of an additional three years of support services from KIS is not inconsistent with the Alameda Municipal Code.

 

ENVIRONMENTAL REVIEW

 

The California Environmental Quality Act (CEQA) applies only to projects that have the potential for causing a significant effect on the environment.  This action is not a project pursuant to Public Resources Code section 21065 and CEQA Guidelines section 15378.

 

CLIMATE IMPACT

 

There are no identifiable climate impacts or climate action opportunities associated with the subject of this report.

 

RECOMMENDATION

 

Authorize the City Manager to renew the support services agreement with Sable Computer Inc. dba KIS Computer Company for an additional three years for the City of Alameda’s Two IntelliFlash Storage Area Networks (SAN) in the Amount of $59,699.
