EXECUTIVE SUMMARY

 

To continue to support the City of Alameda’s (City) computer system backup and internet security, staff is recommending the ratification of a one-year renewal of the subscription with KIS Computer Company for Barracuda Backup Server appliance, storage and maintenance in an amount not to exceed $57,171.

 

BACKGROUND

 

The City contracted with KIS in July 2021 to implement the Barracuda Backup Server solution for the City’s computer system backup and internet security. That contract subscription expired in July 2022 and was due for renewal. The Interim City Manager signed a purchase order in July 2022 to renew the contract in order to prevent any disruption to the City’s computer system backup or internet security.  Due to the City Council’s meeting schedule in July 2022, staff was unable to bring this item to the City Council at that time, so is now requesting that the City Council authorize the Interim City Manager to ratify the purchase order. This subscription renewal will bring the total compensation to $118,020.

 

DISCUSSION

 

In July 2021, the City purchased the Barracuda Backup Server solution including internet security and maintenance in the amount not to exceed $60,849.60.  The City would like to continue with the Barracuda Backup solution for an additional year in the amount not to exceed $57,171. which brings the total compensation to $118,020.  Because this total compensation exceeds $75,000, the subscription renewal requires City Council approval. In order to prevent any disruption to the City’s computer system backup or internet security, the Interim City Manager signed the purchase order for the term of July 2022 - 2023. Staff is requesting City Council to ratify this subscription renewal that will bring the total compensation to $118,020.

 

ALTERNATIVES

 

                     Authorize the Interim City Manager to ratify a one-year subscription renewal with KIS for the City of Alameda’s Barracuda Backup solution

                     Not authorize the purchase of an additional one-year support renewal. This would result in the City’s back up data not being accessible in the event of a system failure.

FINANCIAL IMPACT

 

The total cost of the one-year subscription renewal is $57,171. The funds for this purchase are budgeted in the Information Technology Internal Service Fund.

 

MUNICIPAL CODE/POLICY DOCUMENT CROSS REFERENCE

 

The purchase of an additional one-year of Barracuda subscription and support services from KIS is consistent with the Alameda Municipal Code.

 

ENVIRONMENTAL REVIEW

 

The California Environmental Quality Act (CEQA) applies only to projects that have the potential for causing a significant effect on the environment.  This action is not a project pursuant to Public Resources Code section 21065 and CEQA Guidelines section 15378.

 

CLIMATE IMPACT

 

There are no identifiable climate impacts or climate action opportunities associated with the subject of this report.

 

RECOMMENDATION

 

Authorize the Interim City Manager, to ratify a one-year subscription renewal with KIS Computer Company for Barracuda Backup Server appliance, storage and maintenance in the amount not to exceed $57,171.
